Not warehouse stock, consumables, or reordering. ## 1) Default refresh cycle - Default laptop refresh: **36 months** (3 years) OR **48 months** (4 years), depending on role and workload. - Peripherals (docks/chargers): replace as-needed, but verify at offboarding and quarterly audits. ## 2) Refresh tiers (example) - Standard users: 48 months - Power users (dev/design/data): 36 months - High-risk/security/admin devices: 36 months + quarterly verification ## 3) Early replacement triggers Replace early if any is true: - repeated hardware failures / downtime - battery health below acceptable threshold - device no longer receives security updates (or fails baseline controls) - repair cost exceeds threshold (e.g., >30% of replacement cost) ## 4) Process - Track purchase date + warranty end date. - Review refresh list monthly or quarterly. - When replacing, **close the return** (serial verified, data handled, status updated). ## 5) Verification and records - Quarterly audit cadence recommended for growing/hybrid teams. - Every refresh event should update: status, location, assignment, disposal/wipe notes.
