People

People records represent employees, contractors, or anyone else you assign assets to.

What a person record includes

  • full name
  • email
  • status (Active or Deactivated)
  • optional contact or department details
  • current assignments
  • assignment history
  • custom fields when your workspace uses them

Core workflows

Create or edit a person

  • Add from the People list (Add Person)
  • Edit from the person profile (Edit)

Deactivate or reactivate a person

People are Active by default. The People list shows active people by default; enable Show deactivated to include people who are no longer current assignees. Deactivated people remain available in assignment history and analytics/report filters.

To deactivate a person, use the action dropdown on the People list or open their profile and choose Deactivate. The confirmation explains that current assignments must be returned or reassigned first. A deactivated person cannot receive new asset assignments. Choose Activate from the list dropdown or Reactivate on the profile to allow new assignments again.

Delete a person

Delete is separated from editing and status actions and always requires confirmation. Deleting moves the person to Trash and removes them from the People list; existing assignment history is preserved.

Search and review people

Use the labelled Search people field to search by name or email. Long email addresses are shortened in the table so rows stay scannable; hover to inspect the full value or use the copy control to copy it. Recent updates use human-readable relative time such as just now.

View assigned items and history

On a person profile you can see:

  • current assigned items
  • assignment history
  • summary information that helps with follow-up work

Use the offboarding view

The offboarding view gives you a clear list of the assets that should be returned when someone changes roles or leaves the organization.
